Gmail Storage Full? How to Free Up Space Fast

Gmail storage full? Empty Trash and Spam, find big emails with larger:10M, use Google's storage manager, then stop the clutter coming back. Step by step.

When Gmail says your storage is full, email stops arriving and new messages bounce back to the people who sent them. The fix usually takes ten minutes, and you rarely need to pay for more space. Here is the order to do things in, from the fastest wins to the tools most people never find.

Quick answer Empty Trash and Spam first, then search Gmail for has:attachment larger:10M and delete the big emails you no longer need. Next, open Google’s storage manager at one.google.com/storage/management to clear large files in Drive and Photos, which share the same 15 GB. Storage totals can take a day or two to update.

Why Gmail says storage is full

A free Google Account comes with 15 GB of storage, and it is shared between Gmail, Google Drive and Google Photos. Gmail counts every message and attachment, including what is sitting in Spam and Trash. Drive counts the files you own, and Photos counts anything you have backed up. On Android, WhatsApp backups count too.

Once you hit the limit, Google stops delivering new email to you, and senders get a bounce message. You also can’t upload to Drive or back up photos. If you stay over the limit for two years, Google says it may delete content across Gmail, Drive and Photos, so it is worth sorting out even if you don’t rely on that address every day.

The quickest way to see where the space has gone is one.google.com/storage, which splits your usage by Gmail, Drive and Photos. Gmail on your computer also shows the amount used at the bottom of your inbox.

Step 1: Empty Trash and Spam

Deleted emails sit in Trash for 30 days before Gmail removes them, and they still count against your storage the whole time. Clearing both folders is the fastest fix, and it is often enough on its own.

Empty the Trash

  1. Open Gmail on your computer.
  2. In the left panel, click More, then Trash.
  3. At the top, click Empty Trash now.

Empty Spam

  1. In the left panel, click More, then Spam.
  2. At the top, click Delete all spam messages now.

Both actions are permanent, so glance through Trash first if you think something might have been deleted by mistake.

Step 2: Find and delete your largest emails

A handful of emails with big attachments usually take up more room than thousands of plain ones. Gmail’s search operators let you find them in seconds.

  1. Click the search box at the top of Gmail.
  2. Type has:attachment larger:10M and press Enter. This lists every email with an attachment over 10 MB.
  3. Tick the emails you no longer need, then click the Delete icon at the top.
  4. Go back to Trash and click Empty Trash now, or the space won’t be freed until the 30 days are up.

If that search returns nothing, try a lower number such as larger:5M, or larger:2M. Other searches worth running:

  • older_than:2y has:attachment for old attachments you probably have elsewhere
  • filename:pdf larger:5M or filename:mp4 for a specific file type
  • category:promotions older_than:1y for a year of newsletters and offers
  • from:someone@example.com for one sender’s history

If you want to keep an attachment but not the email, download it to your computer first. Gmail can’t remove an attachment from a message on its own, and saving it to Drive doesn’t help because Drive uses the same storage. These operators work in the Gmail app on your phone too. For more search tricks, see our Gmail tips and tricks guide.

Step 3: Delete thousands of emails at once

Any search can be deleted in bulk, not just the emails on the first page.

  1. Run a search, for example category:promotions older_than:1y.
  2. Tick the Select box at the top left of the list. This selects the emails on the current page.
  3. A notice appears above the list offering to select all conversations that match the search. Click that link.
  4. Click the Delete icon, then empty Trash.

The same trick works from a label or category in the left panel: open Promotions or Social, tick Select, click the link to select everything, and delete.

Step 4: Use Google’s storage manager

Google One has a cleanup tool that works across Gmail, Drive and Photos, and it is the best place to go when you have cleared Gmail and the bar still looks full.

  1. Go to one.google.com/storage/management on your computer and sign in.
  2. Under Get your space back, click Free up account storage.
  3. Under Clean up suggested items or Clean up by service, pick a category to review. You can sort the files and switch between list and grid views.
  4. Select what you want to remove and click Delete. For Photos the button is Move to trash.
  5. Read the warning, tick the box and click Permanently delete.

Note that items removed here skip the Trash. There is no 30 day window to change your mind, so review carefully.

Two other places where space hides: in Google Drive, click Storage in the left-hand menu to see your files sorted from largest to smallest, and look under the Backups section of your storage page for old phone backups you no longer need. Hidden app data can be cleared from Google Drive settings under Manage apps.

Step 5: Give it time to update

After a big cleanup, the storage number can take 48 to 72 hours to refresh. If you have emptied Trash and Spam, deleted your largest emails and cleared Drive and Photos, and the warning is still showing the next day, wait before buying more storage. Email will start arriving again as soon as your usage drops below the limit, even if the bar hasn’t caught up.

How to stop it filling up again

A quarterly search for larger:10M keeps the big stuff in check. The other thing that quietly grows your mailbox is the quoted history in replies. Every time you reply in Gmail, the entire earlier conversation is copied underneath your message, hidden behind three dots, and stored again. A long thread ends up keeping the same messages over and over, in your account and in everyone else’s.

You can delete the quoted text by hand before you send (our step-by-step guide shows how), or let ThreadTrim do it on every reply automatically. Attachments will always be where most of your storage goes, but trimmed replies keep threads short, searchable and tidy, which makes the next cleanup much easier.

Finally, if you genuinely use more than 15 GB, a Google One plan adds storage across Gmail, Drive and Photos, and it is a lot cheaper than losing incoming email. Work and school accounts are different: your admin sets the quota, so ask them before you start deleting.

FAQ

Why is my Gmail storage full when I have nothing to delete?

Gmail shares 15 GB with Google Drive and Google Photos, so the space is often used by backed-up photos, Drive files or phone backups rather than email. Check one.google.com/storage to see the split, empty the Trash in all three services, and allow up to 72 hours for the total to update.

Will I lose emails if my Gmail storage is full?

New emails can’t be delivered while you are over the limit, and senders get a bounce message. Your existing emails stay put. Google says it may delete content if an account stays over quota for two years.

How do I find large emails in Gmail?

Search for has:attachment larger:10M to list emails with attachments over 10 MB. Lower the number, for example larger:5M, if nothing shows up. Delete the ones you don’t need, then empty the Trash.

How long does it take for Gmail storage to update after deleting?

Google says it can take 48 to 72 hours for the storage total to refresh after deleting a lot of files, so don’t buy more storage straight away if the number hasn’t moved.

Can I just delete attachments and keep the email?

No. Gmail doesn’t let you remove an attachment from a message. Download the file to your computer, then delete the email. Saving it to Drive doesn’t free space, because Drive uses the same storage.

Stop sending the whole thread.
